Overview

Agent templates provide pre-built AI assistants equipped with curated system prompts, optimal model selections, and default tool configurations.

Instead of defining behavior and capabilities from the ground up, you start with a proven workflow designed for specialized operational needs. You can either test the agent immediately with default settings or customize it to match your team's specific requirements.


When to create an agent from a template

Creating an agent from a template is recommended in the following scenarios:

  • Rapid deployment: You need an operational assistant immediately without spending time writing and refining prompt instructions.

  • Proven workflow structures: You want to implement standard business use cases—such as RAG document question answering, data analysis, PDF anonymization, or HR support—using verified architectural best practices.

  • Learning agent design: You are exploring agent configuration and want to study how effective prompts, tool setups, and model choices are structured in practice.

  • Tailored adaptations: You want a solid foundation that only requires minor adjustments, such as connecting your internal company knowledge base or specific external tools.

  • Immediate testing: You want to quickly evaluate baseline agent performance in live chat before deciding how to customize settings.


Prerequisites

Before creating an agent from a template, ensure you have:

  • An active Swiftask account.

  • Access to the Agents section from the left navigation menu.

  • Permissions to create agents within your workspace.


Step-by-step guide

1. Open the agent creation menu

Click Agents in the left sidebar to open the agents dashboard. In the top right corner of the page, click the red Create agent button.

2. Select use a template

A modal titled Create a new agent appears with three starting points. Click Use a template.

3. Browse and select a template

The Agent templates catalog opens with available pre-built agents.

Filter templates using the category tabs (All categories, Data, HR, Productivity) or enter keywords into the Search templates… bar. Once you find a suitable agent, click its View button.

4. Choose how to get started

The template overview displays the agent role, description, default AI model, memory settings, and connected data sources.

Under Get started with this agent, select your preferred onboarding path:

  • Clone and Personalize: Duplicates the template and opens the configuration editor to let you customize instructions, models, tools, and knowledge sources before using it.

  • Clone and Test: Duplicates the template and launches an instant chat conversation so you can interact with the agent immediately using default settings.

5. Confirm duplication and proceed

When the confirmation dialog appears asking "Do you want to duplicate this agent?", click Confirm.

The cloned agent is automatically added to your personal agent list in the Agents section under the name [Template Name] Copy (X). You are then redirected to the configuration editor or directly to the chat interface depending on the option chosen.


Practical use cases

Customer support knowledge base assistant
Select the Knowledge assistant - RAG template and choose Clone and Personalize. Connect your product documentation and internal FAQs in the knowledge settings so the agent responds using verified company data.

Instant data analysis in chat
Pick the Greg - Data analyst assistant template and select Clone and Test. Upload spreadsheets or CSV files directly into the conversation to generate immediate summaries, calculations, and visualizations.

Custom HR onboarding assistant
Clone an HR template such as Expert RH France using Clone and Personalize. Add company leave policies and onboarding guidelines to deliver tailored answers to team members.


Tips & best practices

  • Rename your duplicated agent: Duplicated templates automatically receive the suffix Copy (X). Rename your agent in profile settings to make its purpose clear to your team.

  • Test baseline behavior first: If you are unsure what settings to customize, use Clone and Test to evaluate baseline performance before adjusting instructions.

  • Attach dedicated knowledge: Connect your internal documents in the Knowledge base tab to ground agent answers in your company's proprietary information.


Troubleshooting

The agent appears multiple times in your agent list
Cause: Clicking Confirm multiple times creates a separate copy each time.
Fix: Open the Agents dashboard, click the three-dot menu on redundant duplicates, and delete them.

The template does not include company-specific knowledge
Cause: Templates only provide generic system prompts and default structures.
Fix: Open the agent configuration page, navigate to Knowledge base, and upload your organization's files or URLs.

A required skill or integration shows an authentication warning
Cause: Cloned agents do not automatically inherit your third-party credentials.
Fix: Open the agent's Skills settings and authenticate your individual connection for that tool.
